How we retain, delete, and handle deletion requests.

This policy explains how Leaners AI retains and deletes user data. It complements our Privacy Policy and Terms of Service.

    Scope
    Leaners AI is an AI-powered learning platform designed to support primary school pupils in Uganda, typically used under adult supervision (guardians and educators). This policy applies to data processed through our website and services.

    Data we may retain
    Depending on how you use Leaners AI, we may store:
    • Account and profile data — name, school, class/grade, and contact details provided during registration.
    • Learning and activity data — progress, quizzes/exams, homework/feedback, and interactions that help personalize learning.
    • Chat and content inputs — prompts and messages sent to the AI, and any files or text submitted for learning support.
    • Technical data — device/browser information, logs, and usage data used to maintain security and improve the platform.
    We do not sell personal information. We do not share personal information with third parties except as required by law or to provide essential services (such as hosting).

    How long we retain data
    We retain personal data only for as long as necessary to:
    • Provide and improve the learning experience
    • Maintain account access and platform functionality
    • Protect safety and security (e.g., prevent misuse)
    • Comply with legal obligations, where applicable
    In practice, we typically keep account and learning data for the duration of an active account. Technical logs may be retained for a shorter period and rotated over time.

    Data deletion options
    Users (or a guardian/educator acting for a pupil) can request deletion of personal data. This satisfies app-store and platform requirements that users have a way to request data deletion.

    How to request deletion
    To request deletion, email us at admin@leanersai.com with the subject line "Data Deletion Request".
    Please include:
    • The account email or username (if known)
    • The pupil's name and school (if applicable)
    • The request type: delete account, delete specific data, or delete all personal data
    • Proof of authority when requesting for a child (e.g., guardian or educator relationship), if needed
    We may ask for additional information to verify identity and protect pupils from unauthorized requests.

    What happens after a deletion request
    After verification, we will delete or anonymize the requested data within a reasonable timeframe, unless we must keep certain information for legitimate purposes (for example, security, preventing misuse, or legal compliance).
    Some information may persist temporarily in system backups or logs; those copies are removed or overwritten on a normal backup rotation schedule.

    Exceptions
    We may retain limited data when necessary to:
    • Detect and prevent fraud, abuse, or security incidents
    • Comply with legal requirements and respond to lawful requests
    • Resolve disputes or enforce our Terms of Service
